What can the Bullhorn integration do

 Call recording and transcription

Our call recording and transcription feature makes it easy to record important calls. VXT can automatically transcribe your call recordings and suggest a relevant candidate to save it to, making it easy to review specific parts of the conversation at a later date. Recording your calls can be a great tool to mitigate risk and make resolving client disputes easier.

Enforcement

Switch on enforcement settings for your organisation to ensure calls are always recorded and transcribed.

Understand who's calling

We sync your contacts from Bullhorn and display names and notes against caller IDs so you know who's calling when you answer the phone. With instant access to the caller's name and information, you never have to ask "John, who?" ever again. With contacts available in VXT, you can search by name in the app when you want to make a call.

How to connect Bullhorn integration to VXT


  1. Go to Settings.
  2. Find the ‘Integrations’ tab.
  3. Search Bullhorn.
  4. Follow the displayed instructions.

    NB: If your organization has already connected, the credentials can be shared with the team members to let them connect Bullhorn to VXT.
  5. Input the API credentials obtained from the Bullhorn support.

    You'll be automatically redirected to the VXT app, and a 'Connected' label will appear on the Bullhorn tab to indicate that the connection was successfully established. VXT will then download your contacts from Bullhorn and keep them synced.
  6. Click Bullhorn.
  7. Select your Bullhorn user name within the Setup tab.
  8. Hit ‘Save.’

How to save your call notes

After a call

To ensure the notes dialog displays, go to the Settings > Calling > Open notes dialog when call ends and set to either ‘For answered calls’ or ‘Always.’

  1. Locate the Bullhorn section.
  2. Type the matter you intend to save your notes in.
  3. Select the matter.
  4. Click the label ‘Log a time entry’ to modify the activity category, rate per hour, duration, and description. You can also set the call as non-billable.
  5. Add notes or check your existing notes.
  6. Hit save.

When left unsaved after a call

  1. Go to the ‘Phone Page.’
  2. Click the number or contact to show your communication thread. 
  3. Hover over the intended call. 
  4. Click Notes & Integration. 
  5. Follow the instructions above.

Automatically save a call

  1. Go to Admin.
  2. Click Configuration.
  3. Find Integrations.
  4. Switch on the toggle for the feature ‘Automatically save calls to integrations.’

How to find saved call notes and SMS

 

  1. Go to the Phone page.
  2. Select your conversation thread with another contact.
  3. Click the link, ‘Bullhorn contact,’ under the contact’s name at the top of your screen.
  4. Select the ‘Notes’ tab after being redirected to the Bullhorn webpage.

There you have it! Your SMS and calls should appear on your screen now, where you can check your call transcriptions, notes, and summaries.

How to delete synced Bullhorn candidates/contacts in VXT

  1. Go to your account on the Bullhorn website.
  2. Select the ’Menu’ tab.
  3. Click Candidates/Contacts.
  4. Choose the contact you wish to delete.
  5. Find the button ‘Edit.’
  6. Select ‘Delete’ at the bottom right corner of the screen.
  7. Hit ‘Delete.’
  8. Follow the instructions in this section.

Disassociate a number from a contact

  1. Go to Contacts.
  2. Search and select the contact.
  3. Click the link: ‘Open contact in Bullhorn.’

  4. Go to the ‘Edit’ tab.
  5. Find and clear the unwanted registered phone number.
  6. Save the change you made.
  7. Switch to the VXT app.
  8. Follow the instructions in this section.

How to disconnect Bullhorn

  1. Go to Settings.
  2. Select the Integrations tab.
  3. Locate the Bullhorn tab (Edit settings).
  4. Click the Other tab and tap ‘Disconnect.’
  5. Hit disconnect once again when a prompt window appears.

 

Common issues

Duplicate contacts

  1. Refresh the app (Cmd+R or Ctrl+R)
  2. Settings > Account > Actions > Advanced > Invalidate Contacts Caches

Contacts are not syncing

  1. Visit your Settings
  2. Select the Integrations tab.
  3. Click Bullhorn and tap the Syncing tab. You can try out one of these methods and see if they sync and display your contact's name correctly in VXT.
    1. Select the ‘Sync now’ button or 
    2. Disable and enable the toggle switch for the ‘Contact syncing’ or 
    3. Disconnect and reconnect the integration.

‘This page isn’t working’ & Invalid Credentials

  • If you are redirected to the webpage saying, “This page isn’t working,” please double-check your Client ID and Client Secret.
  • If you received ‘Invalid Credentials,’ please double-check your API username & password.
  • Lastly, reach out to your VXT admin or contact Bullhorn Support for credential verification.
